An independent coffee shop and açai bar in Duston running on paper, WhatsApp and a calculator. We gave them a website and a system.
Everything was on paper.
Including the wages.
nourish was doing the hard part well. Good food, a loyal local following, a business people actually liked. What it did not have was anything holding the operation together.
Rotas were paper. Leave requests were paper, or a message in WhatsApp that got buried by lunchtime. The management team had no shared system at all, so nobody could see what anyone else had already sorted, and the same conversation happened three times.
The worst of it landed at the end of every month. Hours for every member of staff were worked out by hand, from paper, one person at a time. It is slow, it is the kind of job nobody can do while also running a shop, and it is exactly the sort of task where a small mistake costs real money or real goodwill.
On top of that they had no website. None. For a business whose customers find places by searching on a phone, that meant every person in Northampton looking for what nourish sells was finding somebody else.
The fix, in two parts.
The website
A site that captures the vibe, built to be found.
They had nothing to send people to, so we built the site from scratch: the look and feel of the shop, the menu, where to find them, and everything Google needs to understand what the business is and where it sits.
It went live inside 14 days and started doing the job immediately. nourish now comes up first in Northampton for açai, which is the single search that matters most to them.
The bespoke staff app
One system replacing the paper, the spreadsheets and the WhatsApp threads.
Then we built the part that changed how the business runs day to day: a completely bespoke staff management system, built around how nourish actually operates rather than bent to fit off-the-shelf software.
It runs both sites, nourish and Wootton Coffee Shop, from one place. Every member of staff has their own login and their own portal, so the rota they need is on their phone instead of on a wall, and a leave request is a request in a system rather than a message somebody has to remember.
What actually changed.
Time that used to go on rotas, chasing leave and working out hours now goes back into the business, every single week.
From having no website at all to being the first result for the search their customers actually make.
The website was live and working within a fortnight, not a quarter.
The same system runs nourish and Wootton Coffee Shop, so the operation scales without the admin scaling with it.
The paper is gone, the WhatsApp threads are gone, and nobody is sat with a calculator at the end of the month. nourish runs on one system now, and the people running it got their evenings back.
